Business Manager

JOB SUMMARY

The Business Manager is responsible for day-to-day operations of the orchestra and assists in various financial, communicative, and artistic functions within the organization. The position regularly interacts internally with MSO volunteers, musicians, and board members as well as externally with sponsors, local businesses, and donors. The position also provides general administrative support, assists with outreach events and concert production, and helps conduct initiatives that help advance the mission statement.

Hours & Pay Rate

20 hours/week @ $20/hour, evening and weekend work is required.

JOB DUTIES AND RESPONSIBILITIES

Administrative

  • Collect MSO mail weekly and respond to or forward all requests to the appropriate member.

  • Forward any bills, credit card statements, and bank statements to the Accountant for processing.

  • Check MSO email frequently and respond to or forward all requests to the appropriate member.

  • File annual LARA State Business Entity (Department of Corporate Licensing) registration.

  • Maintain the SAM.gov, EBiz, SBA, SIGMA.michigan.gov, League of American Orchestras Dun & Bradstreet, Guidstar and Grants.gov accounts for government grant purposes.

  • Secure raffle and liquor licenses for events as needed.

  • Attend Executive Finance Committee meeting

Finance

  • Track income in the MSO Google Drive including private donations, corporate sponsors, grants, admissions, and PayPal.

  • Complete bank deposits and relay all deposit information to the Executive Finance Committee.

  • Download monthly bank statements and forward copies to the MSO Accountant.

Board Support

  • Secure meeting space for board meetings.

  • Manage the Zoom account and distribute virtual meeting link for Board Meeting.

  • Keep record of all board meetings, materials, and communication on the MSO Google Drive.

Grant Management

  • Facilitate grant applications and assist when needed.

  • Fulfill all reporting requirements for current and prospective foundation, government, and corporate funders.

  • Follow through with grant assurances to ensure timeliness of grant payments and track deadlines for upcoming grant submissions or final reports.

  • Maintain SmartSimple profiles and manage user accounts.

Donor Management

  • Ensure that all institutional funder benefits, including recognition in Symphony marketing and publicity, are fulfilled. Produce institutional donor recognition list for concert program books.

  • Track sponsor agreement forms.

  • Write acknowledgement letters for institutional gifts received.

  • Conduct research to identify new sources of institutional funding.

  • Manage constituent database of donors and ticket buyers in CRM.

  • Confirm and invoice corporate sponsors, ensure their logo and advertisements are current, and follow up that each sponsor receives their respective benefits that accompany their donation.

  • Send Thank You letters to donors.

  • Track donor receipts and sponsorship forms and confirm they receive benefits.

Concerts and Events

  • Process and track ads for program.

  • Confirm and invoice advertisers, ensure their logos and advertisements are current, and follow up that each advertiser receives their copies of the programs containing their ads.

  • Check program proofs for accuracy; send to Board for editing, as well.

  • Ensure that transportation and lodging is taken care of for the conductor and guest soloists.

  • Develop itinerary for Conductor and or guest Soloist.

  • Monitor box office attendance and payments.

Media

  • Coordinate radio, television, and newspaper interviews and articles.

ADA Accessibility Coordinator

  • Accept training to 504/ADA Accessibility.

  • Complete Section 504 Self-Evaluation Workbook every 3 years with a list of the advisory committee, description of areas examined, and problems identified, and description of proposed modifications.

  • Maintain a copy of the 504 Regulations and become familiar with federal Design for Accessibility guidelines.

  • Ensure staff and board are educated and continuously updated on issues of compliance.

  • Identify the disabled populations and organizations representing people the area served by the MSO.

  • Review and modify policies, procedures, and practices to prevent discrimination and promote accessibility.

  • Manage grievances and complaints per 504.

Board Development

  • Ensure board members sign MOUs annually.

Other

  • Organize and confirm Afterglows for each concert opener and closer each season.

  • Organize and confirm musicians’ lunches for Saturday rehearsals.

  • Perform duties as assigned by the Board President.
